SHIPPING POLICY

1. Scope of Services

Trans Cargo Logistics provides domestic and international courier, freight, and logistics services, including standard parcel delivery, express shipping, freight forwarding, and specialized cold-chain/temperature-controlled shipping for medical and pharmaceutical goods.

2. Booking and Quotes

  • Shipping quotes are estimates based on weight, dimensions, destination, and service level selected, and are subject to change upon final weighing/measurement.
  • All bookings must include accurate sender/recipient details, accurate description of contents, and correct declared value.
  • Misdeclaration of contents, weight, or value may result in shipment delays, additional charges, customs seizure, or refusal of service.

3. Prohibited and Restricted Items

The following are strictly prohibited unless special written authorization is obtained: illegal substances/narcotics, weapons and ammunition, explosives, hazardous chemicals not properly certified, counterfeit goods, perishable goods without proper packaging, and live animals (unless under our specialized live-animal program, where available).

Restricted items (medical supplies, biological samples, pharmaceuticals, lithium batteries, dry ice) may be shipped only if they comply with our packaging, labeling, and documentation requirements below.

4. Shipping International Medical Supplies & Cold-Chain Items

We recognize the critical importance of safely transporting medical and pharmaceutical goods that require temperature control. The following terms apply specifically to such shipments:

4.1 Eligible Medical Shipments
This service covers items including, but not limited to: pharmaceuticals, vaccines, biological samples, diagnostic specimens, peptides and research compounds, and medical devices requiring temperature stability.

4.2 Mandatory Temperature-Controlled Packaging
All medical and biological shipments requiring cold-chain handling must be packed using an approved insulated container and medical-grade coolant sufficient to maintain the required temperature range for the entire transit duration, including customs clearance delays.

4.3 Medical Coolant Rental Service

  • Customers may rent certified medical coolant packs and insulated containers directly from Trans Cargo Logistics for the duration of transit.
  • Rental coolant units are provided pre-conditioned to the required temperature range and are designed to maintain cold-chain integrity for the validated transit window (please confirm current validated duration with our team, as it varies by coolant type and shipment route).
  • Rental fees, deposit requirements, and return logistics will be specified at the time of booking. Some coolant types (e.g., dry ice) are consumable and are not returnable; reusable gel-pack/PCM units may require return within a specified period or the deposit will be forfeited.
  • Customers are responsible for returning reusable rental equipment in good condition. Damaged, lost, or unreturned equipment will be charged at full replacement cost.
  • It is the customer’s responsibility to declare the use of coolant materials (especially dry ice, which is classified as a hazardous material/Class 9 dangerous good under IATA regulations) so that we can ensure correct labeling, documentation, and compliance with airline and customs restrictions.

4.4 Customer Responsibilities for Medical Shipments

  • Provide accurate information about the nature of the goods, required temperature range, and maximum allowable transit time.
  • Ensure all necessary import/export permits, licenses, and customs documentation for medical/pharmaceutical goods are provided prior to shipment.
  • Confirm that recipient is authorized and able to receive the goods on arrival (e.g., licensed pharmacy, clinic, laboratory).

4.5 Limitation of Liability for Cold-Chain Shipments
While we take all reasonable precautions to maintain cold-chain integrity, Trans Cargo Logistics is not liable for spoilage, degradation, or loss of efficacy of temperature-sensitive goods resulting from: customs delays beyond our control, incorrect or insufficient coolant quantity ordered by the customer, inaccurate temperature/transit information provided by the customer, or force majeure events (e.g., extreme weather, flight cancellations, strikes). Customers are strongly advised to obtain cargo insurance for high-value or critical medical shipments (see Section 9).

4.6 Research-Use Disclaimer
Certain compounds (e.g., research peptides) shipped through our network may be intended for laboratory/research use only and not for human or animal consumption. Trans Cargo Logistics assumes no responsibility for the end use of shipped goods and relies on the shipper’s accurate declaration of contents and intended use.

5. Packaging Requirements (General)

  • All items must be packaged to withstand normal handling during transit.
  • Fragile items must be clearly marked and adequately cushioned.
  • Cold-chain shipments must use insulated, leak-proof containers appropriate to the coolant type used.
  • We reserve the right to refuse shipments that are inadequately packaged.

6. Customs, Duties, and International Compliance

  • International shipments may be subject to customs inspection, import duties, taxes, and clearance delays. These charges are the responsibility of the recipient unless otherwise agreed in writing.
  • It is the customer’s responsibility to ensure that the goods being shipped are legal to export from the origin country and import into the destination country, including any specific licensing required for medical or pharmaceutical products.
  • We are not responsible for delays, seizures, or destruction of goods resulting from customs non-compliance caused by inaccurate or incomplete documentation provided by the customer.

7. Delivery Timeframes

  • Delivery timeframes provided at booking are estimates and not guaranteed unless covered under a specific guaranteed-delivery service tier.
  • Delays may occur due to customs processing, weather, carrier disruptions, or incomplete address/recipient information.

8. Tracking

All shipments are issued a tracking number, which can be used to monitor shipment status via our website tracking tool. Tracking accuracy depends on timely scanning by partner carriers and customs authorities.

9. Insurance and Claims

  • Basic liability coverage is included as outlined in our Terms of Service; this may not fully cover the replacement value of high-value, perishable, or medical goods.
  • Customers are encouraged to purchase additional cargo insurance for valuable or time/temperature-sensitive shipments.
  • Claims for loss, damage, or cold-chain failure must be submitted in writing within [Insert Number] days of delivery (or expected delivery date, for lost shipments), accompanied by supporting evidence (photos, temperature logs if available, invoices).

10. Cancellations and Refunds

  • Cancellations made before shipment pickup/processing may be eligible for a full or partial refund, minus any processing fees.
  • Coolant rental and dry-ice charges are non-refundable once dispensed/activated, due to the consumable and time-sensitive nature of these materials.

11. Limitation of Liability (General)

Trans Cargo Logistics’ liability for any shipment is limited as set out in our Terms & Conditions and applicable carriage conventions (e.g., Montreal Convention for air freight, CMR for road freight within Europe). We are not liable for indirect, incidental, or consequential damages.
